What you'll do

The Workplace Experience Associate will be responsible for the front of house, being the face and personality of Docusign in a friendly, engaging and helpful manner. This position is intentionally called an "Associate" and not a "Receptionist" because we value the importance of connecting our people with each other, and the outside world. The Associate will thrive in a fast-paced environment juggling multiple tasks while assisting the WE team with different projects and the smooth and efficient operation of the office. This person will enjoy being flexible in taking on ad hoc duties as required.

This position is an individual contributor role reporting to the Workplace Experience Manager.


Responsibility

  • Maintain reception desk services, including greeting visitors and assisting internal employees while delivering excellent customer service
  • Build relationships of mutual trust, and handle complaints and concerns in an emotionally intelligent and constructive way
  • Welcome new hires to the office and familiarize them with the building amenities and where to go when they have questions
  • Manage office supply inventory
  • Interface with the senior leadership team professionally and courteously daily
  • Support administrative needs for standard office operations as well as recurring or ad hoc projects, including meeting room coordination, reporting on office and conference room utilization, and assisting with local office Intranet site with forward-thinking ideas and strong written communication skills
  • Monitor internal feedback and communication channels such as the local Slack channel and team ticketing system (ServiceNow) and raise findings appropriately
  • Monitor and audit office cleanliness and functionality and proactively address and communicate any issues
  • Coordinate with the building property management team and vendors to submit tickets for repairs, maintenance and miscellaneous requests
  • Be a subject matter expert for building access and protocols
  • Apply workplace-related standards, requirements and practices to ensure fully compliant workplace operations and maintenance
  • Support vendor management for Workplace Experience Vendors, including janitorial, food and beverage, maintenance vendors, and more
  • Partner with People Team, Employee Resource Groups and other key partners in delivering employee-centric programs, services, and events, building company culture and strengthening engagement
  • Assist with improving Docusign's Environmental Corporate Social Responsibility by finding ways to reduce waste and implement eco-friendly solutions
  • Coordinate mail flow in and out of the office
  • Manage local office access badges and work closely with Security to help maintain a safe environment
  • Respond to emergencies to provide necessary assistance to employees, customers, and building issues
  • Work extended hours where necessary
  • Collaborate with Global WE team members on various projects and initiatives

Job Designation

In Office: Employee works from the physical workspace 100% of the time.

What you bring

Basic

  • 2+ years experience in office services, hospitality, reception, and/or facilities experience

Preferred

  • Advanced administrative experience, or experience in facilities planning and maintenance in a business environment
  • Proactive in seeking out stretch assignments to broaden skills
  • Responds positively to continuous change
  • Team player with a flexible attitude
  • Excellent verbal and written communication and interpersonal skills
  • General knowledge of Safety & Security standards and access control
  • High attention to detail and data accuracy
  • Ability to manage multiple initiatives simultaneously
  • Good prioritization and time management skills
  • Proactive approach to problem-solving, and ability to make good decisions in a rapidly changing environment
  • Proficiency with Google Suite, Slack, and space planning software

Wage Transparency

Based on applicable legislation, the below details pay ranges in the following locations:

Washington: $20.63/hour - $29.95/hour
